Ask the accommodation for its full trading name, address, map pin and a nearby landmark that staff actually use. If possible, request the address in Khmer as well as English. Check that these details describe the entrance you will use, not an office or a similarly named property. Save a screenshot of the final approach. A map pin is helpful, but a written address gives a driver another way to confirm the destination.
Keep the reservation summary short
Prepare one page with the booking reference, guest name, arrival date, number of rooms and the agreed arrival arrangements. Include what has been paid and what remains payable, using the stated currency. Store a separate copy of the confirmation and any receipt. Booking platforms and individual hosts can have different policies, so use the terms attached to your reservation rather than a remembered promise from a previous trip.
Plan for a failed connection
Download the note before travelling and keep a copy on another device or on paper. Add a contact method that does not depend entirely on the same messaging app. Decide how long you will wait at the meeting point before contacting the provider through a second channel. Never put a payment-card number, account password or unnecessary identity scan into a document you may show to drivers or reception staff.
Record the transfer separately
For a booked pickup, save the provider’s name, meeting instructions, vehicle description if supplied and the agreed passenger and luggage count. Ask how delays should be reported and whether waiting is included. Put the flight or transport reference alongside the local arrival date; a journey crossing midnight can create an avoidable date error. Keep the hotel’s contact separate in case the driver needs directions from someone on site.
Use the note once you arrive
At check-in, compare the room and remaining balance with your summary before adding optional services. Update the return journey details only when you have a confirmed plan. For a multi-stop Cambodia trip, keep a separate note for each property and mark the current one clearly. This modest preparation reduces repeated explanations and helps a small guesthouse, local driver and traveller work from the same practical information.
